The challenge
A hospital group running several units needed to bring three distributed, trust-based processes under control. Attendance was unsupervised - staff work across multiple hospitals, and some (public-relations officers, ambulance crews) work in the field, where paper and honour-system attendance couldn't be verified. Onboarding was paper-heavy - new clinical and support staff must submit more than a dozen credential documents, collected and approved by hand. And the growth channel was invisible - Public Relations Officers (PROs) generate patient referrals by visiting doctors, clinics and pharmaceutical contacts, but those visits and the referrals they produced went untracked. They needed a verifiable, auditable digital system that clinical and field teams would actually use every day - and that management could oversee from one place.
Unsupervised attendance
Staff work across multiple hospitals, and field roles work off-site - paper and honour-system attendance couldn't be verified.
Paper-heavy onboarding
New staff must submit more than a dozen credential documents, collected and approved entirely by hand.
Invisible growth channel
PRO visits to doctors, clinics and pharma contacts - and the referrals they produced - went untracked.
What we built
A custom, multi-platform workforce and field-force platform - a mobile app for capture in the field, a web panel for administration and oversight, and a REST API over one shared database.
- ◆Geo-fenced, selfie-verified attendanceStaff punch in and out with a front-camera selfie and a live GPS fix, validated against each hospital's own coordinates and radius, with sensible exemptions for mobile roles.
- ◆Continuous field trackingWhile a workday is open, the app streams a location trail that management can see on a live map and export for route auditing.
- ◆Paperless onboarding with an approval chainA full digital employee record with 14 credential-document slots, moving through a formal submit → review → approve/reject lifecycle, with rejection remarks routed back to the employee.
- ◆Field-activity & referral loggingPROs record each referral-source visit - contact, category tier, and a mandatory "selfie with person" plus GPS proof - and log the patient referrals that result, attributed to the staff member and source.
- ◆Leave managementApply, review, and approve or reject, with a complete audit trail.
- ◆Role-based administration & reportingEight staff roles with server-driven permissions, role-aware dashboards, bulk employee import, Excel exports across every dataset, and management reporting.
A built-in integrity control
Because a manager can end a workday on an employee's behalf, the platform records who did it - and a dedicated proxy-attendance audit report surfaces every punch made by someone other than the employee. Management can see "someone punched for me" at a glance. Real domain modelling, not a generic timesheet.
The stack
A coordinated, custom build across mobile, web, API and database - owned outright by the group.
Relationship: a direct client - a multi-unit Indian hospital group. Silex designed, built and still runs the platform; the group owns the code, data and hosting.
Results
Trust-based attendance is now verifiable digital punches; every field visit carries photo and location proof and every patient referral is attributed to its staff member and source; onboarding is paperless with credential capture and HR approval in one auditable flow - and the group owns the platform outright.
"Attendance, field visits and referrals are finally verifiable across all our units, and onboarding is paperless. The same team that built it still runs it for us."
- HR Director, multi-unit hospital group (illustrative - attribution pending client approval)
Why it matters
This is proof that Silex builds mission-critical, multi-platform business software well beyond e-commerce - a coordinated mobile app, web panel, API and database - with real domain modelling: per-site geofencing, field-force tracking, referral attribution and management-grade integrity auditing. When the need doesn't fit a standard product, we build the system a business actually runs on - and hand it over as an asset they own.
